How to Plan Bus Charter for Your Corporate Dinner and Dance
LTA-Licensed | UEN 53379842J | Established 2018A simple planning guide for HR and event teams arranging staff transport to and from your annual dinner and dance in Singapore. Learn how to set pickup points, time coaches around the programme, and get everyone home safely.
How do I arrange transport for a company dinner and dance?
Start by counting your final headcount and picking one or two easy pickup points, like your office lobby or the nearest MRT. Then book a coach that seats everyone in one trip, plan the drive so guests arrive before the programme starts, and set a return run for after the event ends. You can let us handle the full plan through our corporate event transport service.
Plan the pickup and timing
Get your team to the venue calm, together, and on time.
Count heads early
Ask each team to confirm who is coming about a week before the event. A firm number tells you whether a 23 seater minibus, a 45 seater coach, or a 49 seater coach fits best. Round up a little so latecomers and plus ones still have a seat.
Choose one or two pickup points
Pick spots that are easy for most staff, such as the main office lobby or a nearby MRT station. Fewer stops keep the coach on schedule and cut down waiting time. Share the exact meeting point and time so nobody is left behind.
Time the drive around the programme
Look at when doors open and when the first speech or dinner begins. Build in extra minutes for evening traffic and ERP roads so guests arrive before the programme starts. Our drivers know Singapore roads and plan the route to match your schedule for the day.
Match the coach to your group
Browse our fleet to compare the 23, 45, and 49 seater options. Every coach is air-conditioned, fitted with seatbelts, and driven by a licensed driver. Choose a size that seats everyone in one trip so your team travels together.
Sizing the fleet to your headcount
Rates are per coach per trip, all-inclusive of driver, fuel, ERP and parking, with no GST. A dinner and dance normally needs two runs, one out and one back, so double the figure for a full evening.
| Attendance | Fleet | Per trip |
|---|---|---|
| Up to 45 | 1 x 45-seater coach | From SGD 100 |
| 46 to 90 | 2 x 45-seater coaches | From SGD 200 |
| 91 to 135 | 3 x 45-seater coaches | From SGD 300 |
The 49-seater is available too at SGD 110 per trip, which is worth it when you are close to 45 and want a buffer for late sign-ups rather than turning someone away. Above 135 guests we quote the fleet as one combined figure. Give us the final headcount and we will size it.
Handle the return runs and budget
Make sure every guest gets home after the celebration ends.
Plan the return run in advance
Dinner and dance nights often run late, so agree on a return time before you book. You can set one coach to leave at the official end, and for larger groups add an earlier run for staff who want to head home sooner.
Keep late finishers covered
Ask the venue when the programme really wraps up, including any awards or after party. Booking hourly with a four hour minimum, from SGD 50 per hour, lets the coach wait and leave only when your group is ready.
Know the all-in price up front
Our pricing is all-inclusive, so driver, fuel, ERP, and parking are already covered and there is no GST to add. Check the clear starting rates on our pricing page before you confirm the booking. This helps you plan the transport budget without surprise charges.
Book early for the dinner and dance season
Year end is the busiest time for dinner and dance events, so coaches fill up fast. Confirm your date, headcount, and pickup points as soon as the venue is locked in to secure the right coach.
A run timeline for the evening
Two runs, built backwards from the start of the programme.
| Run | Timing | What to watch |
|---|---|---|
| Arrival shuttle | Board 60 to 90 minutes before the programme starts | From the office or an MRT hub. Staff in formal wear board slowly, and evening traffic into the city is the least predictable part of the night. |
| Departure shuttle | Staggered from about 10.30pm | Not everyone leaves together after a D and D. Two departure waves beat one, and the second wave often crosses 11pm. |
Watch the 11pm line
Any run touching 11pm to 7am adds a flat SGD 20 per vehicle. That usually catches the last departure wave, so budget for it rather than being surprised. On a gazetted public holiday a further SGD 30 per vehicle applies.
If the evening might overrun, hourly hire from SGD 50 an hour with a four-hour minimum keeps the coach with you instead of paying for two separate transfers, and extra stops carry no charge on hourly. Compare both on the instant quote calculator.

The contact person was friendly and fast in their replies. Trustworthy and reliable especially when we did a last minute extension of hours. The driver was helpful and patient with our group, especially when we had an elderly passenger with a wheelchair. He did his best to find parking spaces that were convenient to our locations. Would return to book with them for our transport needs.Jason Chin

They were understanding and helped me to rebook the return trip, and kindly waived the usual extra fees for rebooking as it was a mistake on both sides. The bus drivers are also very friendly. Comfortable ride.Suriani MJ
